2.1 Information You Provide Directly
Name, email address, job title, company name, phone number, and password when you register or request a demo.
Payment card details and billing address, processed via our PCI-DSS-compliant payment processors. We do not store raw card numbers.
Documents, files, emails, recordings, and other content you connect to or upload into GENii Pulse for AI processing.
Messages you send us via email, chat, or support tickets, including feedback and feature requests.
2.2 Information Collected Automatically
When you access our website or Services, we automatically collect certain technical and usage data, including:
- Log data: IP address, browser type and version, operating system, referring URL, pages viewed, and timestamps.
- Device data: Device identifiers, screen resolution, and hardware model.
- Usage data: Features used, queries submitted, workflow executions, integration connections activated, and interaction patterns within GENii Pulse.

- Enterprise administrators: Your employer or organisation may provide your details when setting up an enterprise account.
- Publicly available sources: We may supplement your contact record with business information from public databases to personalise your experience.
How We Use Your Data
We use the information we collect for the following purposes, always with a legitimate legal basis under applicable data protection law:
3.1 To Provide and Improve Our Services
- Operate, maintain, and enhance the GENii Pulse platform and its Intelligent Assistants and Workflows.
- Process and respond to your support requests.
- Personalise your experience and tailor GENii Pulse outputs to your organisation's context.
- Train and improve our AI models — but only using data that has been appropriately anonymised or for which you have provided consent. We do not use your enterprise content to train shared models without explicit opt-in.
- Develop new features, conduct research, and measure product performance.
3.2 To Communicate with You
- Send transactional messages (account confirmations, security alerts, invoices).
- Send product updates, newsletters, and marketing communications — you may opt out at any time via the unsubscribe link in any email.
- Respond to enquiries, demo requests, and support tickets.
3.3 For Security and Compliance
- Detect, investigate, and prevent fraudulent, harmful, or illegal activity.
- Enforce our Terms of Service and other policies.

Sharing & Disclosure
Neural Hiive does not sell your personal data . We share data only in the limited circumstances described below:
4.1 Service Providers
We engage trusted third-party vendors to help us deliver the Services — such as cloud hosting (AWS, Azure), payment processors, analytics providers, and email platforms. These providers access data only as necessary to perform services on our behalf and are bound by contractual data-protection obligations.
4.2 Integrated Third-Party Services
When you connect external tools to GENii Pulse (e.g., Google Workspace, Slack, Salesforce), data flows between Neural Hiive and those platforms according to your configuration and those platforms' own privacy policies. You control which integrations you activate.
4.3 Legal Requirements
We may disclose your data if required to do so by law, regulation, or valid legal process (e.g., a court order or subpoena), or when we reasonably believe disclosure is necessary to protect our legal rights, prevent fraud, or ensure the safety of persons.
4.4 Business Transfers
In the event of a merger, acquisition, sale of assets, or similar corporate transaction, your data may be transferred as part of that transaction. We will provide notice via email and/or a prominent notice on our website before your data is transferred and becomes subject to a different privacy policy.

Data Retention

- Account data is retained for the duration of your account plus up to 90 days following closure, to allow account reinstatement and to resolve disputes.
- Platform content (documents, recordings, etc.) is retained according to your organisation's configured retention settings. Enterprise customers may request deletion at any time.
- Usage and log data is typically retained for 12 months for security and performance purposes.
- Marketing data is retained until you opt out or request deletion.
- Legal hold: Certain data may be retained longer when required by applicable law or in connection with active litigation.
Security
Protecting your data is fundamental to our business. We implement industry-standard and enterprise-grade security measures, including:
- Encryption: All data is encrypted in transit (TLS 1.2+) and at rest (AES-256).
- Access controls: Strict role-based access controls and multi-factor authentication for all internal systems.
